Quick Reference Guide: Viewing Supervisory Orgs


Keep in mind Information Needed
 This guide only applies to supervisory organizations to which you have access. If you  The name of at least one supervisory

 Depending on your role access, you may not be able to see all of the features listed in
this guide. If you would like to request a change in your role access, please contact
the Workday Knowledge Center.

Steps:

1. In the search box in the upper left-hand corner of Workday, type in the name of the org you would like to view. As you are
typing, the org may display underneath the search box as a suggestion. You can either select the org from there, or press
Enter to search all of Workday and select the org from the list of search results.

If you would like to narrow your search results to organizations


only, use the “org” search prefix. For instance, in the example at
left, you could also type in “org: Chicago Cubs.” If you are using
search prefixes, suggestions will not display; you must press Enter
to search.

Workday can search on as few as three characters, so you do not


have to type the full name of the org.

2. When you have selected the desired organization, you will see the following page:

 The Details tab will show general


information about the organization, such as its
superior organization, any subordinates, and the
primary location (if one has been designated.)

 The Members tab will show everyone with a


position in the selected organization and some
information about that position.

 The Staffing tab will show any open


positions in the organization that can currently be
filled. If there are no open positions, you will not
see this tab.

 The Unavailable to Fill tab will show any


positions that have been closed, will be filled at a
future date, or have an availability date in the
future. If there are no unavailable positions, you
will not see this tab.

 The Roles and Security Groups tabs will show everyone with any kind of role on this organization, including managers, HR
Partners, Budget Partners, etc.

 The Organization Assignments tab will show the default organization assignments on this org, if there are any, including the
HRMS department, default FAS account, and default FAS subaccount. These will automatically populate the Change
Organization Assignments task when creating positions in this organization.

3. If you would like to view an interactive org chart of the supervisory organization, click on the Related Actions button
next to the name of the org and select the Org Chart button.

The org chart will display as a tree, with the manager on top linked to all of their direct reports.

Individual contributors appear in blue boxes that list their name, job profile, and location.

Managers appear similar to individual contributors, but with an orange


highlight. The name of the supervisory organization which they manage
appears above their box, and a small orange number displays the
number of individual contributors and empty positions. If they do not
have any direct reports, there will not be a number.

Empty positions will appear in blue boxes with the position number and title.

The menu icon in the upper left-hand corner of the org chart allows you to select different display options.

Clicking on up arrows or down arrows allows you to move to either superior or subordinate organizations.

If you would like to export the org chart to a PDF, click on the print icon in the upper right-hand corner.
