1.Introduction
The Hospital Management System (HMS) is a designed for any Hospital to replace their existing manual,
paper- based system. This System targets to provide complete solution for Hospital and Health care
services. This System can be used in any Hospital, Clinic, Diagnostics or Pathology labs for maintaining
patient details and their test results. It integrates the entire resources of a hospital into one integrated
software application. The project Hospital Management System includes registration of patients, storing
their details into the system, and also computerized billing in the pharmacy, and labs. The software has
the facility to give a unique id for every patient and stores the details of every patient and stores the
details of every patient and the staff automatically. It includes a search facility to know the current status
of each room. User can search facility to know the current status of each room. User can search
availability of a doctor and the details of a patient using the id. The Hospital Management System can be
0entered using a username and password. Hospital Management System is powerful, flexible and easy to
use designed and developed to deliver real conceivable benefits to hospitals. It provides a relevant
information across the hospital to support decision making for patient care, hospital administration and
critical financial accounting in a seamless flow. Hospital records are easily audited and kept compliant
with policies and laws.

In addition, the Hospital Management System is cost effective – it reduces the need for staff to manage
manual entries, manage paperwork, and ensure accurate filing. This in turn significantly reduces the
possibility of human error, which can prove costly on many counts. Another significant factor of the HMS
is it is customizable to the needs and requirements of a particular healthcare facility. Hospital
Management System enables you to develop your organization and improve its effectiveness and quality
of work. Managing the key processes efficiently is critical to the success of the hospital helps you
manage your processes.

2.Problem Statements
The problem addressed by the Hospital Management System is the need for an efficient and streamlined
approach to manage various administrative tasks in a healthcare facility. Traditional manual methods of
managing patient records, appointment, and other administrative processes are prone to errors, time-
consuming and can lead to inefficiencies.

Some of the specific problems faced in hospital management include:

1. Manual record-keeping: Maintaining patient records, doctor details, and appointment schedules
manually on paper or spreadsheets can result in data inconsistencies, loss and difficulties in
retrieving information quickly.
2. Appointment scheduling complexities: Coordinating and managing appointments for multiple
doctors, handling rescheduling or cancellations and ensuring proper allocation of resources can
be challenging without a centralized system.
3. Inefficient patient management: Without a proper system in place, tracking patient information,
medical history and treatment plans becomes cumbersome, leading a potential error in
diagnosis and treatment.
4. Lack of real-time information: Administrators and doctors may not have access to real-time data
and analytics about the hospital’s overall performance, patient inflow, resource utilization or
financial aspects, making informed decision making difficult.
5. Security and privacy concerns: Paper-based records are susceptible to loss, theft, or
unauthorized access, compromising patient confidentiality and data security.

3.Objectives
The objective of this project is to develop

 To promote awareness of health care among all sections of the people.

 To promote awareness among functionaries involved in Health and Hospital Management.

 To promote research in the field of Health and Hospital Management. in order to improve
the efficiency of Health Care delivery Systems.

 To promote the development of high-quality hospital services and community health care to
promote a forum for the exchange of ideas and information among health and hospital

 planners, academicians, administrators, various statutory bodies and the general public for the
improvement of Hospital and Health Care delivery Systems.

 To record all information about various diseases and medicines available to cure them.

4.Scope and Limitation

4.1 Scope
The scope of a hospital management system (HMS) is extensive, covering various aspects of
hospital operations. An HMS typically includes functionalities like patient registration,
appointment scheduling, electronic medical records (EMR), billing, inventory management,
pharmacy management, and laboratory management. It may also incorporate features for medical
imaging, telemedicine, reporting and analytics, and integration with external systems like insurance
providers and laboratories. The scope of an HMS is to automate and streamline administrative and
clinical processes, improve patient care coordination, enhance data security and accuracy, optimize
resource utilization, and provide valuable insights for decision-making. The scope of an HMS can be
customized based on the specific needs and requirements of the hospital implementing it.

4.2 Limitation of hospital management system

 The system will not include mobile app support in the first phase.
 No complex integrations with third-party systems or legacy hospital software will be done unless
specified.
 Advanced features like AI-based decision support and telemedicine will be implemented in later
phases
 Customization of workflows and user interfaces for specific departments is limited
 Data migration from older hospital systems will be restricted to certain formats.

5.Development Methodology
The development methodology for a Hospital Management System (HMS) project
typically involves the SDLC (Software Development Life Cycle) approach. Here is a concise overview:

1. Requirement Analysis: Gather requirements from stakeholders, including doctors,

administrators, and patients. Define functional and non-functional requirements.

2. Planning: Create a project plan, timeline, and resource allocation.

3. System Design: Develop architectural designs, database schemas, and user interface layouts.

4. Implementation: Write and integrate code modules for functionalities such as patient
management, billing, appointments, and reporting.

5. Testing: Perform unit testing, integration testing, and user acceptance testing to ensure the
system meets the requirements.

6. Deployment: Install the system on hospital infrastructure, ensure compatibility, and train users.

7. Maintenance: Provide ongoing support, fix bugs, and update features based on user feedback.
Functional Requirements for a Hospital Management System typically include a wide range of features
and capabilities to ensure efficient operations and effective patient care. Here are some common
functional requirements for an HMS:

1. Patient Registration:
 Registration ability to register new patients, including capturing personal and medical
information.
 Appointment scheduling: Allow patients to schedule appointments with doctors and
departments.
 Admission/Discharge: Manage the admission and discharge process for patients.

2. Staff Management:
 User Authentication: Secure login for staff members with different access levels (admin,
doctors, nurses, etc.).

3. Medical Records Management:

 Electronic Health Records: Store and manage patient medical history, diagnoses,
treatments and test results.
 Medical Imaging: Integration with systems for storing and viewing medical images.

Software Requirements:

This software package is developed using html, bootstrap for front end. PHP and MY SQL
Server as the back end to store the database for backend with using Xampp server.

FEASIBILITY STUDY

The feasibility of the project is analyzed in this phase and business proposal is put forth with a very
general plan for the project and some cost estimates. During system analysis the feasibility study of the
proposed system is to be carried out. This is to ensure that the proposed system is not a burden to the
company. For feasibility analysis, some understanding of the major requirements for the system is
essential.

Three key considerations involved in the feasibility analysis are:

Economic Feasibility

This study is carried out to check the economic impact will have on the system will have on the
organization. The amount of fund that the company can pour into the research and development of the
system is limited. The expenditures must be justified. Thus, the developed system as well within the
budget and this was achieved because most of the technologies used are freely available.

Technical Feasibility

This study is carried out to check the technical feasibility, that is the technical requirements of the
system. Any system developed must not have a high demand on the available technical resources. This
will lead to high demands being placed on the client. The developed system must have a modest
requirement, as only minimal or null changes for the implementing this system.

Operational Feasibility

The aspect of study is to check the level of acceptance of the system by the user. This includes the
process of training the user to use the system efficiently. The user must not feel threatened by the
system, instead must accept it as a necessity. The level of acceptance by the users solely depends on the
methods that are employed to educate the user about the system and to make him familiar with it. His
level of confidence must be raised so that he is also able to make some constructive criticism, which is
welcomed.
Literature Review

Hospital Management System provides the benefits of streamlined operations, enhanced administration
and control, superior patient care, strict cost control and improved profitability.

HMS is powerful, flexible, and easy to use and is designed and developed to deliver real conceivable
benefits to hospitals.
