proactive and efficient Administration Officer to support our operational functions and
ensure seamless daily management of administrative tasks.

Job Summary:

The Administration Officer will oversee and manage essential administrative duties such as
housekeeping, vehicle logistics, hotel/travel arrangements, EPBX operations, and internal
events. The ideal candidate should be organized, detail-oriented, and capable of
coordinating across departments and external vendors.

Key Responsibilities:

Supervise housekeeping staff and ensure hygiene and cleanliness across office/project
premises.

Handle vehicle arrangements for staff and guests including scheduling, maintenance
coordination, and driver supervision.

Organize hotel bookings, guest accommodation, and travel itineraries for employees and
visitors.

Monitor and maintain office EPBX/intercom system and coordinate with service providers for
maintenance or technical issues.

Manage internal and external event logistics, including venue setup, catering, material
coordination, and staff deployment.

Maintain inventory and records for office supplies, housekeeping materials, and
administrative equipment.
Coordinate with vendors and contractors for facility management and office infrastructure.

Prepare daily/weekly administrative reports and ensure timely record keeping.

Maintain and monitor office assets, equipment, and supplies.

Monitor pantry operations, including stock management, vendor coordination, and service
quality.

Assist in onboarding arrangements for new employees (desk setup, ID cards, stationery,
etc.).

Desired Qualifications & Skills:

Bachelor’s degree in any discipline (preferred: Business Administration/Management).

3–5 years of relevant experience in office administration or facilities management.

Strong coordination and multitasking abilities.

Good knowledge of Microsoft Office (Word, Excel, Outlook).

Familiarity with EPBX systems and office equipment management.

Excellent verbal and written communication skills.

Strong negotiation and vendor management skills.
