MODULE 1

This document outlines a module on data processing and information systems, detailing objectives such as defining key terms and explaining the relationship between data processing and information systems. It describes data as raw facts that are transformed into meaningful information through systematic processing operations, including input, processing, and output. The document also categorizes data processing activities into organizing, analyzing, and manipulating data.

DATA PROCESSING , IT,

BUSINESS SUPPORT AND
CONTROL SYSTEMS
MODULE 1: DATA PROCESSING AND
INFORMATION SYSTEMS (SO1)
OBJECTIVES/ SUBJECT OUTCOMES
By the end of the module students should be able to:
 Define the term “data processing”
 Define the term “information system” (IS)
 Explain the nature and purpose of data processing
 Identify the different data processing operations
 Outline the common relationship between data processing and
an IS
 Identify data processing activities performed by data
processing systems
 Explain how data processing is used to generate information
 Explain how information is used in the day to day operations
of an organization.
Data processing in the organization
What is Data?
 From a business perspective, data are known facts about
people, events, places or things relating to the business
of an organization.
 It is normally collected and stored
 It can be viewed as the raw material from which we get
or make information.
 Example: banking data would include facts about
customers, accounts, balances, dates, loans,
repayments, etc.
 Database Management System (DBMS) – software
application that is used to create and manage databases
Data Processing
 It is when you take the raw ingredients or materials, and
you do something to them, to create something more
useful and valuable.
 Example : sheets of steel ( input, raw material) may be
pressed and molded (processed) into pots and pans to be
used for cooking (output).
 In data processing, data (facts) are processed (made) into
information.

Data
Data Processing Information
 It can be defined as a systematic approach to transforming
raw data into information using a predefined sequence of
operations
 Information – the result of processing data in a particular
way in order to get meaningful and usable related facts.
 Information gives a more detailed picture of the data,
and is used in decision making.
 Information System (IS) – are systems that enables an
organization to transform its data into the specific forms
of information that are needed by the organization to
function optimally (best or most effective way).
 DBMS is used to store data and is usually used as the
foundation for IS which lookup data form the database,
do any processing and update results as needed.
 Data processing- can be defined as a systematic
approach to transforming raw data into information
using a predefined sequence of operations.
DATA PROCESSING OPERATIONS

Like any other production systems, data processing takes raw

materials (data) and executes some pre-defined steps, and
produces a final product, information.
 Data processing has three essential operations: input,
processing and output.
 Input – allows us to identify what raw material we need to
collect
 determines how we “feed” it into the process system
 Processing- the steps or operations performed on the data to
transform it into the required material.
 Output- the means by which we deliver the finished goods,
information, to the end users of decision makers.
 content, format, timing, place, audience.
Decisions around Data processing

Data Data Processing Information

What data is needed? Calculations Who are our customers?
Do we have the data? Sorting What do they want or need?
Where can we find it? Grouping How do they want it organized?
How do we collect it? Analyzing How do we deliver it?
How do we input it? Classifying When and where do they need it?
Do we have to prepare Summarizing
it?
The activities (categories) of data processing
 The operations involved in processing can be categorized into
3 types:
 Organizing: activities that include sorting, grouping and
classifying data.
 Analyzing: activities that include evaluating and comparing
data
 Manipulating: activities that include summarizing, averaging,
adding, subtracting, multiplying, dividing and other
mathematical calculations.
