Chapter 1

INTRODUCTION

Project Context

Electronic Diaries are a way of keeping a copy of a diary on a computer. This

allows the user to browse their assignments, and check the progress of their projects on
electronic "diary". Since the computer holds the details of each appointment users can
be reminded in advance of assignments to be submitted and projects. The use of
computers also introduces flexibility into the format of diaries, presenting different views,
such as by year, month or week.

The most important advantage of an electronic diary over a paper one is in its
ability to be shared. Unlike a paper diary, which is bound to one place, staff can access
an electronic diary over a computer network. Moreover the adviser can share a diary,
allowing other teacher to run the diary, while still allowing the admin access over the
computer network. Electronic diaries held on desktop computers, then, make a
schedule of the meetings much easier. While these features are useful, an electronic
diary does add some complications. Electronic diaries that are held on desktop
computers are not as portable as paper diaries. This has led some companies to
develop a range of portable "personal organisers" - the "Palm Pilot", "Psion" and "Timex
Data Link watch" being three of the most popular. These are small portable computers
that attempt to provide the functionality of a "Filofax" in electronic form. While useful,
these computers are still perhaps something of a novelty. While diaries held in personal
organisers are more portable, they cannot be shared over the network. Compatibility
between portable organisers and computer diary packages may dramatically increase
the usefulness of using electronic, rather than paper, diaries. (Kay Tang, 2008).

This ranges from trying to plan meetings in the same location on the same day to
avoid excessive travelling, ensuring time is allocated in advance of deadlines to work on
the project or ensuring meetings are scheduled in such a way that there will be no
overlaps.Diary keeping as a tool can have many purposes: recording internal and

external meetings, recording potential meetings, making reminders, noting deadlines,

and keeping a record of actions or things to do.

Lobo Institute Incorporated was built on August 16, 1860 Lobo Institute
Incorporated has been 157 years. The founder of this school is Sir Roseller P.
Carandang he died in August 4, 1888. The Lobo Institute Incorporated Victoria Zaraspe
to become the Principal National High School today. Dr. Canuel relentlessly proceeded
to mark further changes. He improved the classrooms, built the school canteen, study
shed, conference room, and renovated the principal`s office. Lobo Institute Incorporated
today continues to broaden its reach to fulfil dreams, inspires young people, and carries
out its vision and mission with zest. We are always saying that we are “SIMPLY THE
BEST”

Lobo institute Incorporated have a manual Diary . Students in Lobo Institute have
own Diary they buy their own diary. Because the school have only one projector, If the
teachers want to give an assignment to their students they manually writes in on the
board. Then the students write their assignment in their Diary Notebook and the
teachers give the schedule when the notebook passes. When the students pass the
notebook to their teacher the teacher manually check the Diary of students if they do
their homework or not.If the teachers or principal want to talk the parents or guardian of
the student we give a letter to their parents to attend a personal meeting in school. If the
student is absent maybe because they have a sick some parents come to school to say
that their child can’t attend the class because they are not feeling well. If the parents
want to talk the principal of the school we need to make a letter or an appointment what
is the reason why they need to talk the principal. After that the parents need the
approval or sign of the secretary to meet the principal.When they are having a meeting
the teachers write in the blackboard about their meeting and the students copied it in

their library notebook and they the need to sign their parents the meeting copied by the
students in their Diary.

In this case, we proposed An Online Diary Management System that maybe the
school should have its own website, where the school can post their announcements
regarding their activities. The teachers can also have access to the website so they can
also post their announcements or even the activities that their students must do. Each
students must have their own username with password to have access on the website
for them to be informed and they can also pass their assignment on that website so the
teachers can easily check the assignment of the students.

To be able to design and develop an Online Diary Management System of High school
for Lobo Institute Incorporated.

Specific Objectives:

The study aims to:

 Develop an online Database Management System that will serve as

communication portal for the faculty members, students, parents, and admin
 Develop a system notification for the users.
 Test the system using ISO 9126 standards for performance

Definitions of terms (:)

PHP - (recursive acronym for PHP: Hypertext Preprocessor) is a widely-used

open source general-purpose scripting language that is especially suited for web
development and can be embedded into HTML.

ISO 9126 - is an international standard for the evaluation of software. The

standard is divided into four parts which addresses, respectively, the following subjects:
quality model; external metrics; internal metrics; and quality in use metrics.

MYSQL - is an open source relational database management system.

Information in a MySQL database is stored in the form of related tables. MySQL
databases are typically used for web application development (often accessed using
PHP).

Technical Background

An Electronic diary is a software program specifically designed for users to input their
daily work schedules, make list of tasks to be done, arrange appointments, over a
computer network. This allows the users to browse their appointments, and mark
appointments on electronic “diary page” since the computer holds the details of each
appointment; users can be reminded in advance of meeting an appointments. The user
of computers also introduces flexibility into the format of diaries, presenting different
views, such as by year, months or week (JISC website). Unlike a paper diary, the
computer automatically adds new pages when needed, extra room for day, and retains
copies of diaries for years gone past (Kay Tang, 2008).

Furthermore a diary is a book for writing discrete entities arranged by date. It can be
used for recording activities or for reporting what has happened over the course of a
role in many aspect of human civilization, including governmental business, and daily
written records of (usually person) experience and observations (Mifflin, 2009).

electronic diary over a computer network, checking to see when other staffs are free.
Moreover, staff can share a diary, allowing a secretary to run a manager’s diary, while
still allowing the manager access over the computer network. Electronic diaries held on
desktop computers makes booking of meetings much easier. An electronic diary allows
meeting times to be found, arranged, and confirmed, all from the computer, saving time
and bother (Munson, 2011).

Scope and Limitations

Since electronic diary is very scarce, this has made it to be rampantly used in
various institutions, organisations and by individuals. The end-user is going to use this
to keep track of hasher schedule and meetings and to keep track of what new
appointments made through a shared electronic diary. With this system in place, the
end-user can know when another user is free since electronic diaries can be shared by
employees over a network, which is significantly reduces the time it takes to coordinate
multiple individual schedules for a meeting. Users with heavy schedules can
conveniently coordinate appointments more easily which is better than going through a
paper based diary system (Brown, 1998).
