Introduction
• While working on a computer, we create many
different files using different applications.

• If we keep all these files in a single place, it will be


difficult to find a particular file, especially as the
number of files increases.

• It is, therefore, important to organise our files on a


computer such that similar types of files or related
files are kept together.

Introduction
• Windows allow us to create named locations on a
computer called folders to store our files.

• These folders can further contain more folders called


subfolders.

• They help us organise different types of files on a


computer.

Files
• We know that the work that we save on a computer
while using different applications gets stored as files
in the computer’s storage devices.

• Each file saved on a computer should be given a


unique name that helps us get an idea about the
content of the file.

Files
• A file is represented by an icon that helps us identify
the type of the file.

• There are various types of files such as text, image,


audio and video files.

Folders
• The location where we save our files is called a
folder.

• A folder is thus, a named location on the computer


similar to a drawer, where we can keep our files.

Folders
• Folders help us organise our files. For example, while
storing music files on a computer, we would prefer to
keep Hindi and English songs in two different folders
instead of keeping them together.

Subfolders
• A folder can contain other folders too. A folder
created inside another folder is called a subfolder.

• The main folder is called the parent folder.

• Folders and subfolders help us to organise our files


systematically.

• Organising files in subfolders helps us remember and


locate a file easily and quickly.

Subfolders
• For example, a teacher teaching two different grades
can create two separate subfolders in her/ his main
folder, one for each grade. If she/ he wants to find a
file for Grade V, she/ he will have to only look inside
Grade V subfolder.

Using the Computer application
• The Computer is an application on the Windows
desktop used to view, explore and organise all files
and folders on your computer.

• Clicking on the Computer icon shows you the list of


different locations on your computer and the files
stored in these locations.

Using the Computer application
• The left pane shows the different drives such as ‘C:’,
‘D:’ and ‘E:‘ and the folders and subfolders stored in
them.
• Each folder can be collapsed or expanded.
• When the selected folder is expanded, you can see
all subfolders in the selected folder as a drop-down
list in the left pane.
• The right pane shows the files and subfolders
contained inside the folder that is selected in the left
pane.

• The Computer application is also known as Windows
Explorer.

• You can open it by clicking on the Windows Explorer


icon on the taskbar as shown below.

• The Windows Explorer or the Computer application is
used for creating folders and subfolders on your
computer. It is also used for copying, moving,
renaming or deleting files and folders.

Steps to create a folder
• Step 1: Select the drive or folder where you want to
create a new folder in the left pane. Right-click on a
blank area in the right pane.

• Step 2: Select the New option, and then select the
Folder option. A new folder is created in the selected
drive or folder. You can change the name of the
newly created folder. Double-click the folder to open
it.

• We should give meaningful names to the files and
folders that we create. This will help us easily identify
the content of the file or folder without opening it.

• We can change the name of a file or folder by


renaming it.

want to rename.

Enter key. Double-click the folder to open it.

Creating copies of files or folders
• Sometimes, we require to create multiple copies of a
file or an entire folder.

• For example, we may need to change the content in


the copy of a text file without changing the original
file. We may also want to share the copy of a file with
a friend.

• We can easily make copies of a file or folder using the


Copy and Paste option in the Computer application.

• Step 1: Right-click the file or folder that you want to
copy.
• Step 2: Select the Copy option from the drop-down
menu.

• Step 2: Drag and drop the selected file into the new
folder.

• We can copy or move more than one file or folder.

• To select multiple files, use the Shift or Ctrl key while


clicking additional files.

• The Shift key lets us select a group of files that are
next to each other in the list. To select a range of
files, click the first file and then click the last file in
the range by holding down the Shift key.

• The Ctrl key lets you to select multiple files from the
file list that may not be next to each other. To select
files, click the first file and then click each additional
file by holding down the Ctrl key.

Deleting files or folders
• We can delete files or folders that we do not require
any more from the computer memory.

• This will create more storage space on our computer


and make it easier to manage our files.

• Step 1: Right-click the file or folder that you want to
delete and select the Delete option from the drop-
down menu.
• Step 2: A Delete File confirmation window appears.
Click the Yes button to delete the file or folder and
No to cancel the delete action.

• You can also delete the selected file by pressing the
Delete key from the keyboard.

• The deleted files and folders do not get removed


permanently from the computer. They are sent to the
Recycle Bin from where we can retrieve them.

• If you wish to delete these files or folders
permanently, you have to delete it from the Recycle
Bin.

Restore deleted files
• To get back deleted files, right-click on it in the
Recycle bin and select the Restore option. The file
will reappear at the same location from where it was
deleted.

• To delete a file or folder permanently from a


computer, select the file and press Shift + Delete on
the keyboard. Files deleted in this way are not sent to
the Recycle Bin and therefore, they cannot be
recovered.

Restore deleted files
• When a parent folder is deleted, all the subfolders
and files contained in it are also deleted.
